1. Scope
Gradien builds software for knowledge-intensive teams, including Core, a workspace where people and AI agents can work with shared organizational context. This policy applies to our websites, applications, products, integrations, and related services that link to it.
When an organization uses Gradien, that organization may control the workspace, content, users, retention settings, and connected accounts. If you use Gradien through an employer, client, or other organization, that organization may have its own privacy practices and policies.
2. Information We Collect
Account and identity information
We may collect your name, email address, organization, role, profile image, authentication identifiers, password or single sign-on metadata, and related account settings.
Workspace and customer content
We collect content you or your organization submit to Gradien, including prompts, messages, documents, files, notes, projects, task data, workflow instructions, agent outputs, feedback, comments, and other information stored in or generated through a workspace.
Integration data
If you connect third-party services, we collect information made available by those services based on your permissions and the integration you enable. This may include account identifiers, metadata, files, messages, events, tasks, documents, and other content needed to provide the connected feature.
Usage, device, and log information
We may collect IP address, browser type, device information, pages viewed, actions taken, timestamps, referring pages, approximate location derived from IP address, diagnostic data, and security logs.
Communications
If you contact us, request access, join a waitlist, or participate in sales or support conversations, we collect the information you provide and records of those communications.
3. Google User Data
If you choose to sign in with Google or connect Google services to Gradien, we request access only to the Google account information and Google API scopes needed to provide the feature you enable.
Depending on the product feature and permissions you approve, Google user data may include:
- basic profile information, such as your name, email address, profile image, and Google account identifier;
- Google Workspace content or metadata you choose to connect, such as Drive files, document metadata, calendar events, Gmail messages, or other workspace information made available by the specific Google scopes you authorize;
- authentication tokens that allow Gradien to maintain the connection until you revoke access or the token expires.
We use Google user data to authenticate you, connect your workspace, retrieve or act on information you authorize, create user-facing product features, maintain security, troubleshoot issues, and improve the connected Gradien experience for you and your organization.
Gradien's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not sell Google user data. We do not use Google user data for advertising. We do not use Google user data to train generalized AI models. We do not allow humans to read Google user data unless necessary for security, support, legal compliance, abuse prevention, or with your explicit permission.
You can revoke Gradien's access to your Google account through your Google account permissions page or through available product settings. Revoking access may disable features that depend on the Google connection.
4. How We Use Information
We use information to:
- provide, operate, secure, and maintain Gradien and Core;
- authenticate users and administer accounts, organizations, workspaces, permissions, and billing or commercial relationships;
- process workspace content, run workflows, and produce AI-assisted outputs requested by users;
- connect integrations and perform actions authorized by users or workspace administrators;
- respond to support, sales, and partnership requests;
- monitor performance, debug errors, prevent abuse, and protect the security of our services;
- develop, improve, and evaluate features, subject to the commitments in this policy and our agreements with customers;
- comply with legal obligations and enforce our terms and policies.
6. AI Processing
Gradien uses AI models and related infrastructure to provide product features such as research, drafting, summarization, reasoning, workflow execution, and agent-generated outputs. To provide those features, relevant user inputs, workspace content, integration data, and context may be sent to model providers or processed by Gradien-operated systems.
We require service providers to process customer data only to provide services to Gradien. We do not use customer workspace content or Google user data to train generalized AI models unless a customer separately agrees in writing.
7. Retention and Deletion
We retain information for as long as needed to provide the services, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, and protect security. Workspace content is retained according to the settings and instructions of the relevant organization, unless a longer period is required by law or security needs.
You may request deletion of your personal information by contacting us. If you use Gradien through an organization, we may direct deletion requests to that organization's administrator. Some information may remain in backups, logs, legal records, or security records for a limited period.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, authentication, encryption in transit, infrastructure monitoring, and logging. No online service can guarantee absolute security, but we work to protect data against unauthorized access, loss, misuse, and alteration.
9. Your Choices
- You can update account information through available account settings or by contacting us.
- You can disconnect third-party integrations through product settings where available or through the third-party provider's account controls.
- You can unsubscribe from marketing communications by using the unsubscribe link or contacting us.
- You can request access, correction, export, deletion, or restriction of your personal information, subject to applicable law and organizational controls.
10. Privacy Rights
Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to certain processing of your personal information. You may also have the right to appeal a privacy decision or lodge a complaint with a supervisory authority.

11. Children
Gradien is intended for business and professional use. We do not knowingly collect personal information from children under 13, and we do not knowingly offer services directly to children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date above and provide additional notice where required by law or contract.
